Accountabilities

The post holder is accountable for:

* Working closely with the School Business Lead to ensure that all aspects of the site services function meet the needs of the school at all times

* Ensuring that the statutory duties of the school are complied with at all times, in every respect, for example Management of Asbestos, Gas and Fire safety

* Ensuring that the school compliance tracker, and all other facilities records, are maintained and updated as appropriate to ensure a detailed overview of the school facilities is available at all times

* Managing the Site Services team

* Managing all facilities aspects of school events, liaising with the event leader to ensure all events are co-ordinated and delivered effectively

* Managing all school lettings, in line with relevant policy for hiring school facilities

Primary duties

Site Management

1.To act as line manager for the Site Team and to manage their day to day work and routines, including managing absence to ensure site team cover is in place at all times

2.To attend weekly planning meetings with the Business Lead, providing regular reports of planned and emergency maintenance.

3.To support the Site Assistant in managing the school’s maintenance recording system’, to ensure works are actioned in a timely manner

4.To ensure that the school’s compliance tracker is maintained and actioned as needed to meet all statutory compliance deadlines

5.To plan and monitor all maintenance works and small building projects, including managing contractors, ensuring that a full and complete site induction is carried out, as well as ensuring that all relevant documentation is in place and distributed as appropriate (H&S policies, method statements, risk assessments, public liability insurance documentation etc)

6.To prepare budgetary quotes for works and small projects as needed

7.To plan routine servicing and maintenance works relating to plumbing and heating

8.To maintain a record of meter readings for all utilities

9.To act as point of contact for day to day management of the cleaning and grounds contracts

10.In the absence of the Business Lead, to cooperate with any appointed external consultants and contractors in order to ensure the safe delivery of planned building works/projects at the school

11.To ensure the site is kept litter and graffiti free

School Security

12.Be point of contact for the external site security contractor as needed, including out of hours, liaising with the Senior Leadership Team as needed

13.To ensure locking schedules are in place to cover the school day and all lettings and out of hour functions

14.To ensure all CCTV and alarm systems are in place and working

15.The ability to respond to emergencies, including severe weather, affecting the school premises outside of normal hours and form part of the school’s emergency response team

School Lettings and Events

16.To undertake all administration duties relating to school lettings

17.To plan for, and instruct the Site Team, on tasks required in connection with setting up, and moving of, equipment for all school functions, exams, hires etc

18.To liaise with any outside hirers to ensure all health and safety and supporting documents are in place before any event takes place

19.To ensure all outside bookings are communicated within school as appropriate

Health and Safety

20.To read and research as necessary to have secure knowledge of up to date legislation

21.To communicate all site related health and safety issues to the Business Lead in an appropriate and timely manner

22.To ensure the Asbestos register is reviewed and maintained in line with current legislation

23.To manage and monitor the work of the site Team in carrying out all required annual, quarterly, monthly and weekly testing, ensuring all records are maintained and any required works are processed through relevant procedures

24.To maintain a full register of risk assessments and/or task sheets, relating to site services in order to meet audit requirements

25.To act as point of contact for health and safety visits relating to site issues and prepare action plans and plan of works to address any resulting issues

The postholder will need to maintain qualifications relating to the work undertaken, for example, IOSH; COSHH. Training can be provided.

On occasions there may be a requirement to work outside of the normal daily hours, during an emergency, to meet site management and school needs.

Post holders should expect to carry out any other duties which may reasonably be expected given the nature of the role or any other reasonable request from the Headteacher to undertake work of a similar level that is not specified in this job description.

Personal and professional attributes

The post holder will demonstrate:

Essential

* Proven experience of site and operations management

* Qualifications to GCSE essential, but higher level of qualification to A level or above preferred

* Proven experience of line managing people

* Excellent communication skills both written and verbal with the ability to tailor styles effectively to suit the audience

* Strong administration and organisational skills

* Good computer skills essential

* The ability to work as part of a team

* The ability to prioritise workload to meet changing demands

* The ability to stay calm in a crisis

* The ability to be flexible and adaptable when colleagues are working under pressure

Preferred

* IOSH Managing Safety or NEBOSH Diploma in Health and Safety an advantage

* COSHH assessment certificate of competency

* UKATA asbestos awareness certificate

* School experience an advantage but not essential
